Using the File Library - Overview

The File Library can be an excellent way to distribute information to employees or customers, meanwhile, ensuring that other visitors cannot access these files. Folders can be created to organize your data, making it easier to locate what they are looking for.

Setting up the library:

  1. Access: ToolsFile Library.
  2. Select + New File Library.
  3. Give your File Library a Name.
  4. The URL will be generated automatically. You can edit this by placing your cursor in the field and typing. We advise not using any special characters, no capitals, and replacing any spaces with “_” or “-”.
  5. Click Save File Library.save image

Uploading files:

  1. Open your media manager via Tools> Media Library.
  2. Select Private Files.save image
  3. Find the folder you wish to upload into and select it. (Additional folders can be created by selecting the New Folder button.)
  4. Click on Upload.save image
  5. To choose documents, you may drag and drop from a folder on your computer, or click the Add Files button.
  6. Highlight, or hold down the control (Ctrl) button on your keyboard and click to select individual files.
  7. Choose Open, then Begin Upload.
  8. Once all documents are listed at 100 percent, hit Close.

Setting Permissions:

  1. You can edit the permissions for the file library from within the Private Files section, accessible via ToolsMedia Library.
  2. Select Private Files.
  3. Select Edit from above the file window.save image
  4. Under Public Permissions, select the Default access permission (If most users will have access, leave this on Allowed. If no, set this to Denied).
  5. If there should be certain users who do not follow the default access, set the permissions located below the default to allow this.save image
  6. Under Administrative Permissions, select the Default access permission for Who Can View These Files/Folders (If most users will have access, leave this on Allowed. If no, set this to Denied.
  7. If there should be certain users who do not follow the default access, set the permissions located below the default to allow this.
  8. Select the Who Can Upload Files tab.

  9. Set the Default permission, and adjust the Exceptions below.
  10. Select the Who Can Manage Files/Folders field.save image
  11. Set the Default permission, and adjust the Exceptions below.
  12. Select Update.
